New in Content Retention Manager: Empower Your Teams with End User Content Reviews

Every organization creates more content than it can keep. That’s not a criticism, it’s just a fact of how teams work today. Whether it's a flurry of Confluence pages during a sprint, or Jira issues logged in the midst of a support fire drill, information gets created and piles up. And when that content outlives its purpose, it quietly becomes risk: outdated, duplicative, misclassified, or worse: still storing sensitive data long after it’s needed.

These are why retention isn’t just a compliance checkbox. It’s foundational to information governance, security hygiene, and increasingly, the data hygiene required to get to high AI quality. We've written before on why deletion is the new default, and how the real value of retention policies lies not only in staying compliant, but in keeping systems, teams, and insights clean and trustworthy.

Today, we’re proud to take that vision a step further with the launch of End User Content Reviews in Opus Guard’s Content Retention Manager for Confluence and Jira.

Bringing Review Power to the People Who Know the Content Best

With this new capability, content owners – meaning users who have created or meaningfully contributed to content and still hold permission to view it – can now directly review what they’ve helped produce, and weigh in before it's automatically expired or deleted.

Each user receives a clean, intuitive dashboard that surfaces the items they’re responsible for, sorted by urgency. Content nearing the end of its lifecycle is clearly marked, and users can quickly scan, assess, and when needed flag content that should be preserved.

This doesn’t remove administrative control. Content Admins still determine policy scope, classification rules, and final actions. But now, they gain a valuable new input: context from the people closest to the content itself.

Retention with Foresight, Not Just Rules

Too often, retention programs stumble at the last mile. The policy is well-structured, the tools are in place: but someone deletes something that shouldn’t have been lost, simply because they didn’t realize it was about to go.

With end user content reviews, we are closing that gap. Teams can now make more informed, collaborative decisions about what stays and what goes, while keeping the system governed, auditable, and aligned to policy.

And for Content Admins, there's flexibility too. You can configure whether users see the associated retention policy or data classification for each piece of content: an important control when balancing transparency with sensitivity.

Why It Matters More Than Ever

Good retention practice isn’t just about cleaning house. It’s about enabling greater flow.

  • It reduces clutter that distracts from relevant, in-progress work.
  • It lightens the load for Rovo and the AI tools that now power search, summaries, and suggestions across the Atlassian ecosystem.
  • It avoids the silent risks of retaining personal or regulated data beyond what’s necessary.

And most importantly, it gives people confidence. When users trust that their workspace reflects what’s current, necessary, and purposeful, they're better able to focus, make decisions, and move forward.
